The TR team is in charge of designing, building, piloting, implementing, and iterating on a multi-faced ecosystem that supports our learners throughout their educational and community engagement journey. The TR team sits at the central point of the learner journey, and therefore collaborates extensively with multiple stakeholders such as Selection, CX Ops, Talent Experience, Product, Engineering, Data, Fellowship, and the City Teams\n\n \n\nABOUT THE ROLE\n\nAs a Program & Operations Specialist, you are at the heart of ensuring the seamless functioning and success of our educational initiatives. Your diverse range of responsibilities encompasses various facets, each crucial for the smooth running of our programs:\n\n\n* Calendar: Create and manage the program calendar, specific to each cohort, including all program events and key deadlines \n\n* Communications: Support communication with learners pre-program, onboarding, throughout the program duration, and postgraduate (where necessary) from the program through the community platform and email. \n\n\n* Align with relevant stakeholders to ensure weekly communication to learners is delivered in a timely and efficient way\n\n* Review effectiveness of the different communication channels (email, portal, City team nudges) in communicating to learners the relevant program requirements\n\n\n\n\n\n* Platform setup and moderation: Circle, Google Calendar, YouTube, Zoom, Slido, LMS and other relevant tools\n\n\n* Set up program platforms for internal use by the team and external use by learners\n\n* Conduct internal testing to enhance user experiences\n\n* Ensure learners are on boarded onto relevant platforms seamlessly and know how to navigate these platforms, \n\n* Monitor learnersโ usage and support with troubleshooting\n\n\n\n\n\n* Program support: Create, maintain & improve program processes, resources (e.g relevant guides) and tools to deliver prompt, efficient learner support, enabling learners to thrive in the AiCE program, including interventions for those that may have fallen behind.\n\n* Event experience design and adaptation: Onboarding events, Weekly Office Hours for live support, Ad-hoc job readiness sessions, and any other relevant live sessions\n\n\n* Organize and execute various program events to provide learners with learning support and relevant updates throughout the program\n\n* Build connections with mentors, speakers, experts and more to build learnersโ job readiness and equip them with knowledge to thrive in the job market.\n\n\n\n\n\n* Stakeholder Management:\n\n\n\n* Collaborate with various teams for program success, \n\n\n* Including CX Ops for all email communication and surveys, \n\n* Talent Experience for learner support, \n\n* Learning Design for Curriculum and technical support, \n\n* City Teams for targeted learner support, \n\n* Learning Community Experience Team for learner support on community and job readiness,\n\n\n\n\n\n* Evaluate stakeholder relationships for improved ways of working and better program outcomes\n\n\n\n\n\n* Internal Meeting Scheduling & Reporting:\n\n\n* Scheduling recurring internal team meetings\n\n* Ad-hoc reporting tasks as needed\n\n\n\n\n\n* Program Analytics and Reporting: \n\n\n* Track and analyze data on completion of program requirements and attendance of program events to evaluate learner performance,progress and engagement throughout the program.\n\n* Generate regular reports on key metrics, providing insights to the team for informed decision-making.\n\n\n\n\n\n* Program Monitoring & Evaluation: \n\n\n* Develop feedback collection tools such as surveys, and interviews, combining this with observation from the program team and key stakeholders, to inform the program design and delivery.\n\n* Develop innovative ways to improve the program delivery and implement these with the support of relevant stakeholders\n\n\n\n\n\n* Program Playbook:\n\n\n* Develop / contribute to the program / team playbook to document program processes for use by other program teams / future cohorts.\n\n\n\n\n\n* CA and Fellow Management:\n\n\n* Ensure CAs & Fellows are onboarded and understand responsibilities clearly\n\n* Unearth the strengths of each CA and Fellow and help them develop - assigning them to key tasks they can thrive and learn by doing\n\n\n\n\n\n\n\n\n \n\nREQUIREMENTS\n\n\n* High level of accuracy and a strong attention to detail.
